Procedure for Incoming Staff

PROCEDURE OF ACCEPTING INCOMING STAFF

1-      EU offices receives a visiting offer from the prospective incoming staff.

2-      EU Office informs the visitor about the paperwork and contact details of the relevant academic department.

3-      The visitor contacts the relevant departmental coordinator about the content and date of the planned mobility programme.

4-      After the visitor and the departmental coordinator reach a decision on the content and date of the programme, the visitor sends the departmental coordinator a scanned copy of the teaching/training agreement with the signature of the sending institution.

5-      The departmental coordinator signs the teaching/training agreement and sends it to the EU Office for the final signature of the institutional coordinator.  In the case that the visitor also needs a letter of invitation, the departmental coordinator fills out the invitation letter form with his/her signature and encloses it to the teaching/training agreement.

6-      The institutional coordinator signs the teaching/training agreement and the letter of invitation, and a scanned copy is sent both to the visitor and the departmental coordinator.

7-      The departmental coordinator makes the necessary arrangements for the proposed teaching/training programme and informs the visitor.

8-      After the mobility has taken place, the departmental coordinator fills out Certificate of Attendance and sends the form to EU Office for the signature of the institutional coordinator.

9-      The institutional coordinator signs the certificate of attendance and sends a scanned copy both to the visitor and the departmental coordinator.
